What are Accounts?

Accounts are groups of Members. Typically an Account is associated with a family wherein an Account owner manages purchases for each family member.

How do Accounts work?

An Account is a key piece of Dive 365. Accounts are associated with Organizations through purchases; either by Sessions or Registration Categories.

Each Account is primarily managed by the Account owner, though Organization administrators can view Accounts and perform necessary tasks. For example, Organizations can view Account Members, view and manage purchases, and more.

When a Member signs up for the first time, they will be assigned an Account automatically. If the Member is not over the age of majority, their sign up will be denied. For underage Members to exist in Dive 365, an Account owner must create the Member within their Account and optionally invite the Member (if a sign-in is required). Once an underage Member has been created within an Account, then the new Member can be assigned Sessions and Registration Categories. If they were invited, they will be able to sign in.

An Account may be associated with multiple Organizations. For example, an Account may include some Members that dive with one Organization and others that coach at another Organization. In some cases, a single Member may be affiliated with multiple Organizations as well.

Account owners

Every Account will have an Account owner. When an Account is first created, it will be in response to a Member signing up for the first time. This Member will be considered the Account owner.

In some scenarios, a family may include multiple Account owners (e.g. multiple parents/guardians). The original Account owner may assign the Account ownership role to any other Member over the age of majority. In other words, an Account may have multiple Account owners.

Only Account owners will be allowed to make purchases in the Store.

An Account has a corresponding "customer" in the backing payment service (Stripearrow-up-right). This customer provides purchase tracking, subscription information, and payment method configuration.

Archiving

Accounts cannot be deleted, nor can they be archived. After a period of inactivity, Accounts will be automatically hidden from view.

Account owners are allowed to delete Members as well as their entire Account. For data integrity purposes, deleting an Account does NOT remove the physical object from the system, but rather completely eliminates any personally identifiable information (PII). The customer object in the backing payment service (Stripearrow-up-right) is then also deleted.

Permissions

The "account reader" Role is required to view Account details. The "account contributor" Role is required to modify Account details.
