How to: Create Sessions

Navigate to the "Semesters" page (linkarrow-up-right) by clicking on the "Semesters" option in the navigation menu.

Click on the Semester within which you wish to create a Session.

Click "add"

Click the "add" button in the toolbar at the top of the page.

Permissions are required to create Sessions.

Enter details

In the popout, enter the relevant details for your Session.

Property
Description

Name

The name of the Session. This value appears in the Store.

Description

The description of the Session. This value appears in the Store.

Image

A small thumbnail image for your Session. This image appears in the Store.

Notes

Notes to include about the Session. This value appears in the Store and is included in the post-registration Communication.

Program

The Program the Session is implementing.

Registration category

The "athlete" type Registration Category the Session implements that the Member will be assigned (and have to pay for) when purchasing the Session.

Status

The current status of the Session. - "Normal" means the Session appears in the Store - "Hidden" means the Session does not appear in the Store but is accessible using direct links - "Cancelled" means the Session is cancelled and will not appear in any schedule or the Store

Agreements

The list of Agreements the Account owner must agree to when purchasing this Session.

Schedule start/end

The inclusive start/end dates of the Session.

Schedule items

The list of unique schedules for the Sessions. For example: - "Every Monday and Thursday at 4:00pm to 5:00pm" - "Every Tuesday at 5:00pm to 6:00pm"

Days off

The list of days the Session will not be running. The Classes for the Session will still be created, but will be automatically marked as "skipped". This allows you to turn them back on.

Coach(es)

The optional list of coaches that are assigned to this Session. Being assigned to a Session will allow it to automatically appears in the Coach service.

Pricing type

Whether the deliver the Session as drop-in or session-based.

Price

The price of the Session

Ledger Code

The Ledger Code to apply to the purchase.

Taxable

Whether the Session price is taxable. If "on", the tax will be calculated at time of purchase based on the location of the purchasing Account owner.

Allow inclusion in payment plans

Whether to allow Payment Plans for the Session purchase

Prorated pricing

Whether to enable prorated pricing. Of note, prorated prices are calculated daily.

Registration window

The window within which registration may occur.

Required level

The Level a Member must have assigned in order to register for the Session.

Available spots

The minimum and maximum spots allocated to the Session. Of note, the minimum is informational only. The Session will still commence even if insufficient Members have registered.

Allowed age

The minimum and maximum age of Members registering for the Session.

While you are not technically limited, it is recommended that the start/end dates of your Session are within the Semester's start/end dates.

Save

Click "save" at the bottom of the popout to save your changes. This will reload the Sessions in the Semester details page.
